Our work addresses housing, employment, vocational training, problematic substance use, mental illness, petty crime, community reintegration, legal support, and belonging for individuals at risk of or experiencing homelessness.

About the Position

Streetohome Foundation is seeking a highly organized and detail-oriented Office Operations & Donor Engagement Coordinator to join our small but dynamic team. This role blends office coordination, Board and Committee support, donor stewardship, service provider coordination, and special projects to support our mission. You will provide direct support to the President & CEO, Board of Directors, and Committees, while also maintaining relationships with donors and service providers. This is an excellent opportunity for someone who thrives in a fast-paced, mission-driven environment and enjoys balancing administrative efficiency with meaningful relationship-building. 

Note: Role focus may shift in discussion with the CEO to ensure tasks in demand are met.

Key Responsibilities:

1. Office Administration (30%)

  • Oversee daily office operations, including managing supplies, equipment, and contracts (leases, insurance, software subscriptions).
  • Serve as the first point of contact for inquiries and ensure smooth office communication.
  • Maintain accurate records and uphold organizational policies.
  • Process financial transactions, coordinate with the bookkeeper, and ensure compliance with CRA and legal requirements.
  • Support the President & CEO with scheduling, correspondence, and administrative tasks.
  • Assist with HR administration, including maintaining personnel files and tracking vacation and sick time.

2. Streetohome Board & Committees Support (30%)

  • Schedule Board and Committee meetings and book meeting space.
  • Prepare venue for in-person meetings and/or send invitations for virtual meetings.
  • Solicit input on meeting agendas and circulate materials at least one week in advance.
  • Take minutes and distribute them within 5-7 business days.
  • Maintain an organized system for meeting records and follow-up actions.

3. Donor Relations (20%)

  • Support fundraising efforts, tracking donor relationships and philanthropic interests.
  • Manage donor communications, ensuring timely pledge fulfillment, recognition, receipting, and reporting.
  • Oversee the donor database (Keela) and fundraising records.
  • Assist in preparing stewardship reports and coordinating donor engagement activities.

4. Service Provider Liaison (10%)

  • Maintain relationships with service providers, tracking project deliverables and reporting.
  • Schedule and coordinate grant payments and ensure compliance with agreements.
  • Facilitate Board, Committee, and donor site visits to funded projects.
  • Maintain up-to-date records of funded initiatives and service provider contacts.

5. Special Projects (10%)

  • Assist with organizational initiatives and emerging projects as assigned by the CEO.
  • Provide research and administrative support for new programs or demonstration projects.
  • Contribute to internal process improvements and operational efficiencies.

Required Skills & Qualifications

Education & Experience:

  • Bachelor’s degree or equivalent combination of education and experience.
  • Minimum 5 years of experience in a senior/intermediate level office administration, nonprofit coordination, or donor relations role.
  • Experience in a registered charity and working with service providers is an asset.

Technical Skills:

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Experience with donor management software (Keela or similar) and CRM tools preferred.
  • Familiarity with WordPress and social media platforms is an asset.

Soft Skills & Core Competencies:

  • Strong written and verbal communication skills.
  • Highly organized with exceptional attention to detail.
  • Ability to multitask and prioritize in a small, fast-paced team.
  • Discretion in handling sensitive information.
  • Ability to build and maintain positive relationships with donors, service providers, and stakeholders.
